Please take the time to read the following terms and conditions carefully.

If these rules are not followed, KOKO Dance Academy may refuse class entry. We regularly review and update our policies, and we'll do our best to keep parents, guardians, and teachers informed of any changes.

Section 1: Registration and Class Payments

1A: Registration

Parents/guardians are required to register their child via the Class4Kids system. By completing the registration, they confirm that they have read and consent to the terms and conditions, Code of Conduct, and related policies of KOKO Dance Academy.

1B. Class Payment

To secure your spot at KOKO Dance Academy, please make advance payments before classes commence. Your booking will be confirmed upon receipt of payment, and priority spaces will be allocated to those with completed payments.

Class fees are exclusively payable through subscription via the Class4Kids system, automatically deducted from your account on the 1st of each month. The pricing is calculated for 38 weeks and pro-rated over 11 months.

We conduct an annual fee review to account for inflation and any increased costs.

Section 2: Joining Us and Commitment

2A. Joining Us

After your trial, payment for the remaining classes until the 1st of the month is required before the next class and you must also set up your subscription before the 1st of the month. We reserve the right to refuse entry into the class in the event that payment has not been made and/or the Membership Subscription has not been set up.

Following your trial, payment for the remaining classes until the 1st of the month must be completed and your subscription must be set up before the next class. We retain the right to deny class entry if payment is outstanding or the Membership Subscription is has not been set up.

​

2B. Commitment After 3 Classes

Your first and second classes are a trial period. This allows you to familiarise yourself with our classes before making an extended commitment. From the third class onward, we kindly ask for a commitment of 2 months.

Section 3: Notice Period and Refunds

3A. Notice Period

Ending your Membership or changing your Subscription at KOKO Dance Academy requires a Notice Period, which should be submitted before the 7th of the month via Email.

​

Please note that we do not accept notices through SMS, WhatsApp, or Social Media messages.

If we receive notice after the 7th of the month, the next month's payment will be required and may still be liable to late payment charges.

​3B. Refunds

Missed sessions must be paid for at the regular monthly rate to secure your child’s place in their class.

In the event such as teacher illness or extreme weather, KOKO will arrange a make-up session on an alternative date.

Section 4: Late Payments, Payment Issues, Debt Recovery and Late Pick Ups

4A. Late Payment Charges and Admin Charges

Subscription payments are automatically retried, with the last attempt on the 6th of the month. If your subscription fails, please wait for instructions before making any bank transfers.

Make sure to set up your subscription before the due date to avoid denied class entry and an Admin Charge of £5. The charge increases by £5 weekly from the first invoice or contact.

4B. Payment Issues

Parents/Carers facing payment challenges should reach out to KOKO Dance Academy and inform Principal Keziah of their situation.

​

4C. Debt Recovery

If payment is still outstanding after 14 days, and parents/guardians have failed to contact KOKO Dance Academy, legal action will be taken to recover the debt. Additionally, late payment charges will continue to be added during this period.

​

4D. Late Pick Ups

Teachers are unavailable for late pickups. If a parent/guardian anticipates being late, please contact Keziah at 07527496617.

If a teacher has to remain at the venue after all classes have ended to supervise beyond 5 minutes, late pick-ups will result in an additional charge of £5 for every extra 5 minutes. This amount will be added to your subscription as a covering payment.

Section 5: Optional Opportunities and Uniform

5A: Optional Opportunities

Participation in additional show rehearsals and attendance at events or performances organised by KOKO Dance Academy is optional and may incur additional fees. These fees will be communicated in advance and will be delivered on an ad hoc basis.

5B. Uniform

All dancers are required to wear a uniform for all classes after one month of starting.

The Ballet uniform, excluding tights, shoes and additional accessories, must be acquired through KOKO to ensure uniformity.

KOKO Dance Academy does not take responsibility for lost or stolen items. However, we make an effort to place any found items in our lost property.

​

Section 6: Late Arrivals and Parents Watching

6A. Late Arriving To Classes

Students are required to arrive punctually to minimise disruption and reduce the risk of injury. Late arrivals may result in missing a proper warm-up, crucial for ensuring the body can move safely. Students arriving more than 10 minutes late may be asked to observe the class due to health and safety concerns.

6B. Parents Watching

Parents are not allowed to observe classes unless explicitly invited to do so. Opportunities for observation will be provided throughout the year. Watching classes through windows is discouraged, as it can distract children, potentially causing class disruption and/or injury.

Section 7: Behaviour Policy

At KOKO Dance Academy, we strive for a friendly yet disciplined environment. Students are expected to behave politely, and any disruptive behavior may lead to them being asked to leave the session. Parents and guardians are also expected to exhibit acceptable behavior, and persistent issues may result in discussions both in person and in writing. Unacceptable behavior from students, parents, or guardians may lead to expulsion from the academy. Discrimination is not tolerated, and anyone found guilty will be asked to leave the school. If you have concerns about your child's discipline or behaviour, please address them promptly.

KOKO Dance Academy reserves the right to remove, without a refund, any individual found engaging in bullying, misbehaving, or displaying disruptive behaviour during our sessions.

Section 8: Health and Safety Policy

While every effort is made to prevent injuries, accidents may occur, and the academy cannot accept responsibility for injuries sustained during class. The academy also disclaims responsibility for loss, damage, or injury resulting from errors or omissions on the registration form, whether completed by you or the person in charge of your child at the time of enrollment.

KOKO Dance Academy is responsible for students only during their class. Children cannot be supervised outside of class, and young children must be promptly collected at the end of their class. For older children who have parental or guardian permission to leave the classroom independently, we are not responsible for their supervision.​

Section 9: Appropriate Physical Contact Policy

Dance training may involve necessary physical contact between students and teachers. KOKO Dance Academy acknowledges the complexity of this area and takes the responsibility for safeguarding students and teachers seriously.

Teacher contact is intended to assist dancers in correcting placement, with sensitivity to each individual's needs. This is treated with due care and awareness of the student's wishes.

Contact will not involve force or the use of any instrument. Students and parents are encouraged to discuss any concerns with a staff member.

Section 10: Media Use Rights Permission

KOKO Dance Academy seeks permission from parents/carers to capture photographs and videos of students. No personal information will be used or linked to these images.

We require full rights to use the photography/video footage, reproductions, or adaptations for advertising, publicity, fundraising, or other purposes to support the group's objectives. This may include, but is not limited to, using them for social media, printed and online publicity, and funding applications.

If a parent/carer refuses this permission, KOKO Dance Academy must be informed and confirmed that this decision has been acknowledged. We cannot accept responsibility if this is not flagged on the registration form.

Section 11: Safeguarding

The welfare and wellbeing of all students in our care are our top priorities. We have a duty to act swiftly and responsibly in any instance that may come to our attention, ensuring the safety of children, parents/carers, and staff.

​

All staff hired by KOKO Dance Academy are self-employed contractors, subjected to DBS checks and possessing Public Liability Insurance before conducting classes. Visitors and volunteers without enhanced DBS clearance will not be left alone with minors.

To maintain safeguarding and minimise distractions for students, parents will not be allowed to watch regular classes. The academy will organise parent watch weeks and performances.

Personal contact information will not be disclosed to third parties unless required by law or with your permission. The academy may contact you about other services and events of potential interest.

The academy reserves the right to amend these terms and conditions at any time, for the benefit of the business, staff, or participants.​

By attending our classes, you agree to abide by these terms and conditions. Attendance constitutes acceptance of these terms. KOKO Dance Academy reserves the right to amend these terms without further notice.
